Some trade businesses spend as much time on paperwork as on the tools. Electrical testing and tagging, backflow tests, fire system maintenance, safety forms for commercial sites, supplier invoices for every job. For those businesses, a simple quote and invoice app runs out of road quickly.

AroFlo is an Australian made job management system built for that kind of work. This review covers what it includes, how its pricing works, and who it suits compared with the smaller apps and with Simpro. It’s based on AroFlo’s pricing page and product information, checked in October 2026. We haven’t run AroFlo on live jobs, and AroFlo offers demos rather than a self-serve trial on its pricing page, so this isn’t a hands-on test.

For the smaller apps, see our ServiceM8 vs Tradify vs Fergus comparison.

Pricing (checked October 2026)

AroFlo publishes a starting price, which is more than Simpro does:

  • From AUD $80 per user per month
  • Minimum of three users, so at least $240 a month at the starting rate
  • Sliding scale: the per-user rate falls as you add more user licences
  • Setup fee: applies. A promotion when we checked offered 50% off setup, but the page didn’t list the full amount.
  • Add-ons: advanced GPS fleet tracking and an AI bill scanner cost extra

We couldn’t confirm from the page whether the $80 includes GST. Get a written quote showing users, setup and add-ons, and ask how the per-user rate changes as you grow.

What every plan includes

AroFlo lists these as standard on all plans:

AreaWhat AroFlo lists
JobsQuoting and job management, timesheets and scheduling
ComplianceInbuilt compliance and safety forms
ProjectsProject management with Gantt charts
MaterialsInventory kits, schedule of rates, detailed stock control, 600+ connected suppliers
CustomersTrade CRM, AroConnect access
MoneyAccounting and payments integration
BusinessMulti business units, customisation and reporting
SupportTraining and customer support
AIJobScribe documentation, two-way messaging, GPS time tracking

AroFlo says its AI layer, called Lightning, includes an assistant and agents for job preparation, technician training and documentation.

Integrations

AroFlo says it integrates with Xero, MYOB and QuickBooks for accounting, Stripe and Square for payments, and Australian trade suppliers including Reece and Rexel. Supplier connections matter for plumbers and sparkies, because price changes and invoices can flow into jobs without retyping. Our Xero review covers the most common accounting partner.

Where AroFlo looks strong

  • Compliance forms included. Many small apps charge extra for certificates and forms; AroFlo includes compliance and safety forms in every plan.
  • Supplier catalogues. Over 600 connected suppliers, including major plumbing and electrical wholesalers.
  • Projects and stock. Gantt charts, inventory kits and stock control in the standard plan.
  • Australian made, with support for Australian trade workflows. AroFlo’s site acknowledges the Traditional Owners of the land in Melbourne’s east, where it’s based.
  • Published starting price, unlike Simpro’s quote-only approach.

Where it falls short for small businesses

  • Three user minimum. A sole trader pays for three seats.
  • Setup fee. On top of the subscription.
  • No self-serve trial listed on the pricing page.
  • More system than a small crew needs. Configuring forms, kits and workflows takes time.

Signs AroFlo might suit you

  • You have three or more people in the field, plus some office help.
  • You do compliance-heavy work such as testing, maintenance or commercial sites.
  • You buy from major wholesalers daily and want supplier pricing in your jobs.
  • You run projects alongside service work.

How a job flows through AroFlo

Based on AroFlo’s feature list, a typical service job looks like this:

  1. The customer calls or books. The job goes into the trade CRM against the customer and site.
  2. Quote. The office builds a quote using your schedule of rates and supplier pricing.
  3. Schedule. The job is assigned to a technician on the scheduling board.
  4. On site. The tech sees job details on the phone, records time, fills in compliance and safety forms, and adds photos and notes.
  5. Materials. Stock used comes from van or warehouse inventory, and supplier invoices can be matched to the job.
  6. Invoice. The invoice goes to the customer and syncs to Xero, MYOB or QuickBooks.

The value is that the forms, materials and time all sit against one job record. For maintenance contracts and commercial clients that want certificates, that saves chasing paperwork.

Moving from a smaller app

Businesses usually look at AroFlo when a small app starts to strain: more techs, more compliance paperwork, stock in vans, or commercial clients with their own requirements. Before you switch, plan for:

  • Setup time. Price books, forms, inventory kits and workflows need to be built. Ask AroFlo what setup includes.
  • Training. Office staff and techs need time to learn the system. AroFlo says training and support are included on all plans.
  • Data. Work out what customer, site and job history comes across, and in what format.
  • A switch date. Starting fresh at a quiet time of year is easier than mid rush.

Is the extra cost worth it?

For a three person crew at the starting rate, AroFlo costs at least $240 a month plus setup. Smaller apps cost less. The question is whether AroFlo saves more than the difference in admin time, missed materials and compliance paperwork. If your office person spends hours each week chasing forms and supplier invoices, it might. If most jobs are quick quote and invoice work, it probably won’t.

Our view

AroFlo isn’t trying to be the cheapest app. It’s aimed at trade businesses that have outgrown simple tools.

Questions to ask in the demo

  1. What is the total first-year cost for our number of users, including setup and add-ons, and is it GST inclusive?
  2. Show me our most common compliance form, filled in on the phone.
  3. How do supplier invoices from our wholesaler match to jobs?
  4. How long does a typical setup take for a business our size?
  5. What’s the minimum contract term, and how do we get our data out if we leave?
